Our services
Obsidian Alcove organises in-person events throughout New Zealand for up to 100 guests, with programmes lasting up to eight hours. Each package describes its equipment, styling, team and duration. Set-up and pack-down take place outside the guest programme.
The package price is the total payable, including planning, staff, equipment, décor, set-up, pack-down and transport throughout New Zealand, including between islands. You arrange venue hire, food, drinks and venue facilities unless the package expressly includes them.
Enquiry and booking
The website form sends an enquiry; it does not reserve a date or take payment. We discuss your date, venue, programme and access requirements before accepting a booking.
We send the package, price, programme and responsibilities in writing. The booking is confirmed when you accept these details and we receive the deposit. Please tell us promptly if anything is incorrect.
Payment
A deposit of 30% of the package price is due when you accept the booking. The remaining 70% is due 14 days before the event. Bookings accepted within 14 days of the event require full payment on acceptance. Payment instructions are provided with your invoice; the website does not collect payment-card details.
Included styling and programme options do not change the price. If you switch packages, the new package’s published price applies and we record the change in writing for your acceptance. No compulsory fees are added to the agreed package.
Your venue and information
You arrange a suitable venue, permission to use it, guest seating and the facilities specified on the event page. Provide accurate guest numbers, access details and any relevant mobility or participation needs before confirmation. Final guest numbers, presentation content and approved branding are due seven days before the event.
The venue must provide safe equipment access, suitable power, accessible exits and the agreed set-up and pack-down windows. Outdoor programmes require the indoor weather alternative stated on the event page. We agree its use before the event and move activities inside if conditions make the outdoor programme unsafe, without increasing the package price.
Our responsibilities and event conduct
We prepare the agreed programme, supply the listed equipment and team, coordinate delivery and remove our equipment and décor afterwards. We perform the service with reasonable care and skill and communicate any material problem promptly. A materially different programme requires your agreement.
Please ensure guests follow reasonable safety directions and respect the venue and equipment. Children at family-friendly programmes remain the responsibility of their accompanying adults. We may pause an unsafe activity while addressing the issue, using a suitable alternative within the programme where possible.
Changing the date
You may request one date change without a rescheduling fee at least 30 calendar days before the event. The new date must be available and fall within six months of the original date. Payments already made transfer to the new booking. If no suitable date is agreed, the cancellation rules below apply from the date you tell us you wish to cancel.
For later date-change requests, contact us immediately. We will identify any reasonable, unavoidable costs already committed to the original date before you decide whether to proceed. Such costs will not exceed the applicable cancellation cap.
Cancellation by you
Tell us in writing if you need to cancel. Cancellation charges cover reasonable work already completed and unavoidable commitments, after deducting savings and amounts recovered through rebooking. The charge will never exceed the following share of the package price:
- More than 30 calendar days before the event: 10%.
- 15–30 calendar days before the event: 30%.
- 7–14 calendar days before the event: 50%.
- Fewer than 7 calendar days before the event: 80%.
We explain the calculation and return payments exceeding the charge within 10 working days.
Cancellation or disruption beyond your control
If we cannot deliver the agreed event, we will offer a suitable alternative date or service for your acceptance. If you do not accept an alternative, we refund the amount paid for the service we cannot provide.
Where serious weather, public restrictions, venue closure or another event outside reasonable control prevents performance, we first discuss a safe alternative or postponement. If the booking cannot proceed, payments for undelivered services are refunded after any deduction lawfully permitted for work already provided or unavoidable costs. We explain the basis of any deduction.
Casino-themed programmes
Our 18+ participation rule applies to casino-themed programmes. At events combining several formats, the casino area is kept separate for adult participants.
We supply symbolic chips and points as props. They cannot be bought, topped up, wagered for value or exchanged for money, goods, vouchers or valuable prizes. Participants do not fund a prize pool. The package price covers organising the event. See Responsible Entertainment for the participation rules.
Your rights and liability
Nothing in these terms removes or limits rights that cannot lawfully be excluded, including applicable rights under the Consumer Guarantees Act 1993 and Fair Trading Act 1986. A company name in an enquiry does not by itself remove consumer protections.
If our service fails to meet an applicable guarantee, you may be entitled to a remedy, cancellation, a refund or compensation. Your statutory rights apply regardless of the customer-cancellation schedule.

New Zealand law applies. If a dispute cannot be resolved directly, either party may use the Disputes Tribunal or another competent New Zealand forum where appropriate. These terms do not prevent you from using a lawful complaint or enforcement process.
